Using the site
Free, private, and how your entries are kept.
Are the calculators free?
Yes. Every calculator, PDF, CSV and calendar file is free, with no account and no sign-up.
Is what I type uploaded anywhere?
No. The calculators run in your browser, and the files you download are made on your device. The only things that leave your device are a message you choose to send us and, if a calculator breaks, an anonymous error note with no data in it (see the privacy page).
Where are my entries saved, and how do I clear them?
Each calculator keeps what you typed in this browser’s local storage, so a time card is still there tomorrow. Use the calculator’s “Clear all” button, or clear this site’s data in your browser settings. Another browser or device starts empty.
Can I use the calculators on my phone?
Yes. Every page works on phones and tablets: tap the clock button in a time box to pick a time, and the shift calendars download straight into your phone’s calendar.
How do I print or save a PDF?
The time card, timesheet, payroll, PTO and shift pages have a Download PDF button. Any page can also be printed; the print view shows the calculator and its results without the menus.
Which countries’ overtime rules do the calculators use?
The US federal rule and California’s rules are built in, with notes for the UK, Canada and Australia. For any other rule, the custom setting takes your own daily and weekly limits and pay multipliers. The pages explain rules; they are not legal advice.
How do I report a wrong number?
Use Report a problem, or the Report button in the notice that appears if a calculator fails. Say what you typed and what you expected.

Hours calculator
How do I calculate hours worked between two times?
Count the hours and minutes from the start time to the end time, subtract any unpaid break, and add the days together. From 8:45 AM to 5:15 PM is 8 hours 30 minutes; with a 30-minute unpaid lunch it is 8 hours (8.00 decimal hours). The calculator does this as you type.
How many hours is 9 to 5?
9 AM to 5 PM is 8 hours. With a 30-minute unpaid lunch it is 7 hours 30 minutes, or 7.5 decimal hours; with a 1-hour lunch it is 7 hours.
How many hours is 8 to 5?
8 AM to 5 PM is 9 hours. Many employers deduct a 1-hour unpaid lunch from that shift, which leaves 8 hours of paid time.
How do I calculate hours for an overnight shift?
Count from the start to midnight, then from midnight to the end, and add them: 10 PM to 6 AM is 2 + 6 = 8 hours. You can type the times as they are (10pm and 6); when the end time is earlier on the clock, the calculator counts it on the next day.
What does 8:30 mean compared with 8.5 hours?
They are the same amount of time written two ways. 8:30 is 8 hours and 30 minutes; 8.5 is 8 and a half hours in decimal form. The calculator shows both. Be careful not to mix them up: 8.30 decimal hours is 8 hours 18 minutes, not 8 hours 30 minutes.
Can I use 24-hour (military) time?
Yes. Type 13:30 or 1330 for 1:30 PM, and switch the clock to 24-hour to see the results that way. A time with a leading zero (07:00) or from 13 to 23 is always read as 24-hour time.
Does the calculator save my times?
Your times are kept in this browser only (in its local storage), so they are still there if you close the page. Nothing is sent to a server. Use “Clear all” to remove them.
How do I add hours for a whole week?
Press “Add a day” for each day and type its times; the total at the bottom is the week. For overtime and pay, the time card calculator does the same with an overtime rule and a pay rate.
Time card calculator
How do I calculate my time card?
For each day, take the out time minus the in time, subtract unpaid breaks, then add up the days. Convert the total minutes to decimal hours by dividing by 60. 38 hours 45 minutes is 38.75 hours. The calculator does all of this and splits the week into regular hours and overtime.
How do I deduct a lunch break on the time card?
Type the unpaid lunch in minutes in the Break column (30 or 60), or switch Breaks to “Lunch out / in” and type the times you clocked out and back in. Only unpaid breaks should be deducted; short rest breaks are usually paid.
How is overtime calculated on a time card?
Under US federal law, hours over 40 in a workweek are paid at 1.5 times the regular rate. The calculator adds up each workweek on its own and shows regular hours, overtime hours and, if you enter a rate, the pay for each. You can also choose California’s daily rules or your own limits.
Can I do a biweekly time card?
Yes. Under More settings, choose 2 weeks on the card. Overtime is still counted for each of the two workweeks separately, which is what the federal rule requires.
How do I print or save my time card as a PDF?
Press Download PDF for a one-page time card with your times, totals, overtime and signature lines, or Print for your browser’s print dialog. The CSV opens in Excel, Google Sheets or Numbers.
Does the time card calculator handle overnight shifts?
Yes. If the out time is earlier on the clock than the in time, the shift ended the next day: in at 11 PM and out at 7 is 8 hours. The calculator says “next day” under the row so you can check.
Why is my decimal total slightly different from adding each day’s decimals?
The total is worked out from the exact minutes and converted once, so it does not pick up rounding from each day. Adding 7.33 + 7.33 + 7.33 gives 21.99, while 3 × 7 hours 20 minutes is exactly 22.00 hours.
Is my time card saved or sent anywhere?
It is saved in this browser only, so it is still there when you come back later in the week. Nothing is uploaded; the PDF and CSV are made on your device. Clear all removes it.
Timesheet calculator
How do I calculate hours on a timesheet?
For each row, subtract the in time from the out time and take away the unpaid break. Add the rows for each day, then add the days. Divide the total minutes by 60 to get decimal hours for payroll. The timesheet calculator does it as you type.
How do I record a split shift?
Fill in the first part of the shift on the day’s row, then press the + at the end of the row to add another row for the same date and fill in the second part. Both rows count toward that day’s total and its overtime.
How is overtime worked out on a biweekly or semi-monthly timesheet?
Overtime is counted per workweek, not per pay period. The calculator groups the days into workweeks starting on the day you choose and applies the rule to each week. 45 hours in one week and 35 in the next is 5 hours of overtime, not zero.
Can I add notes, a job number or a client to each row?
Yes. Each row has a note field; notes appear in the PDF and in their own column in the CSV.
Can I make a monthly timesheet?
Yes. Choose “Monthly (the whole month)” as the pay period and pick any date in the month. The timesheet shows every day of that month.
Can I download the timesheet as Excel?
Download CSV gives a file that opens directly in Excel, Google Sheets or Numbers, with dates, times, hours in h:mm and decimal, overtime and notes.
Is my timesheet stored online?
No. It is saved in this browser only, and the PDF and CSV are made on your device. Nothing you type is uploaded.
Minutes to decimal hours
How do I convert minutes to decimal hours?
Divide the minutes by 60. 15 minutes = 0.25 hours, 30 minutes = 0.5, 45 minutes = 0.75 and 20 minutes = 0.33 (rounded). For hours and minutes, add the whole hours: 6:45 = 6.75 hours.
What is 1 hour and 45 minutes in decimal?
1.75 hours: 45 minutes ÷ 60 = 0.75, plus the 1 hour.
What is .25 of an hour?
15 minutes. Multiply the decimal by 60: 0.25 × 60 = 15. Likewise 0.5 hours is 30 minutes and 0.75 hours is 45 minutes.
What is .23 of an hour?
About 14 minutes: 0.23 × 60 = 13.8 minutes, which rounds to 14.
What is .42 of an hour?
About 25 minutes: 0.42 × 60 = 25.2 minutes. In the chart, 25 minutes is 0.42 hours.
Why does payroll use decimal hours?
A pay rate is per hour, so hours have to be a single number to multiply by it. 7 hours 30 minutes at $18 an hour is 7.5 × $18 = $135; you can’t multiply 7:30 by $18 directly.
How do I convert decimal hours to hours and minutes in Excel?
In Excel, divide the decimal hours by 24 and format the cell as [h]:mm. For example =A2/24 shows 7.75 as 7:45. To go the other way, multiply a time cell by 24 and format it as a number: =A2*24.
Should I round each day or the total?
Convert the total if you can. Rounding each day to hundredths and then adding can be a few hundredths off. Your employer’s payroll rules decide which one counts.
Pay & leave
Overtime, payroll hours and paid time off
Overtime calculator
How do I calculate overtime pay?
Multiply your overtime hours by your hourly rate and by 1.5. If you worked 45 hours at $20 an hour, the 5 overtime hours pay 5 × $20 × 1.5 = $150, on top of 40 × $20 = $800 for the regular hours: $950 in total.
What is time and a half for $20 an hour?
$30 an hour (20 × 1.5). Double time would be $40 an hour.
How much is overtime for $25 an hour?
$37.50 an hour at time and a half, and $50 at double time.
Is overtime after 8 hours a day or 40 hours a week?
Under US federal law, only after 40 hours in a workweek: a 10-hour day isn’t overtime by itself. Some states, such as California, Alaska and Nevada, also have daily overtime rules, and contracts can add their own. In California it is both: after 8 hours a day and after 40 a week.
How do I calculate overtime in California?
Enter each day’s hours with the California rule. Each day: hours 9–12 are overtime at 1.5×, hours over 12 are double time. Then any regular hours past 40 in the week are overtime too. On the seventh day in a row in the workweek, the first 8 hours are 1.5× and the rest 2×. The calculator lists which hours fall under which part.
Do salaried employees get overtime?
Some do. Being paid a salary doesn’t make someone exempt by itself: under federal rules an employee must meet a salary level and a duties test to be exempt from overtime. Non-exempt salaried employees are owed overtime for hours over 40. The Department of Labor’s Fact Sheet 17A explains the tests.
Does paid time off count toward overtime?
Usually not. Overtime is based on hours actually worked, so vacation, sick or holiday hours that are paid but not worked don’t count toward the 40-hour limit under federal or California rules, unless a contract says otherwise.
Can overtime be averaged over two weeks?
No, not under the federal rule. Each workweek is counted on its own, even if you are paid every two weeks. (A special “8 and 80” arrangement exists only for hospitals and residential care facilities, by prior agreement.)
Payroll hours calculator
How do I calculate payroll hours?
Add up each employee’s worked time for the pay period from their time cards, convert it to decimal hours by dividing the minutes by 60, then split each workweek into regular hours (up to 40) and overtime. 38 hours 45 minutes is 38.75 payroll hours.
How do I convert hours and minutes to decimal for payroll?
Divide the minutes by 60 and add them to the hours: 40:20 is 40 + 20 ÷ 60 = 40.33 hours. The minutes to decimal chart lists every minute.
How is overtime counted in a biweekly payroll?
Per workweek. Enter week 1 and week 2 separately: the calculator applies the 40-hour limit to each week, then adds them. Combining the two weeks into one 80-hour check would underpay overtime.
Should I round payroll hours to tenths or quarter hours?
Hundredths are the most exact. Rounding to tenths (6 minutes) or quarter hours (15 minutes) is allowed under federal rules only if it averages out over time and doesn’t shortchange employees. Some states restrict it further.
Can I import the results into my payroll software?
Download CSV gives one row per employee with decimal hours, regular and overtime hours, rate and gross pay. Most payroll systems accept a CSV import or let you copy the figures across.
Does the calculator work out taxes and net pay?
No. It gives gross pay before taxes and deductions. Your payroll provider or a paycheck calculator for your state works out withholding and net pay.
Is the employee information stored anywhere?
Only in this browser, so the list is there next pay period. Names, hours and rates are never uploaded; the CSV and PDF are made on your device.
PTO accrual calculator
How do you calculate PTO accrual?
Divide the yearly PTO by the number of pay periods to get the hours earned each paycheck: 80 hours a year ÷ 26 = 3.08 hours every two weeks. If you earn PTO per hour worked, multiply the hours worked by the rate: 80 hours × 1/30 = 2.67 hours.
How much PTO do I accrue each pay period?
Your yearly PTO divided by your number of paychecks: weekly 52, every two weeks 26, twice a month 24, monthly 12. For 120 hours a year paid biweekly, that is 4.62 hours a paycheck.
How much PTO do you get for 40 hours worked?
It depends on your rate. At 1 hour per 30 hours worked, 40 hours earns 1.33 hours. If you get 80 hours a year on a 2,080-hour year (0.0385 an hour), 40 hours earns 1.54 hours.
What is a typical PTO accrual rate?
For full-time US employees, 80 to 120 hours a year (10 to 15 days) is common at first, often rising with years of service. That is 3.08 to 4.62 hours every two weeks, or about 0.04 to 0.06 hours per hour worked.
How many days is 20 hours of PTO?
2.5 days of 8 hours (20 ÷ 8). 70 hours is 8.75 eight-hour days. Set “Hours in a workday” if your days are longer, for example 12 for 12-hour shifts.
What is a PTO accrual cap?
A maximum balance. Once you reach it you stop earning PTO until you use some. It is different from a carryover limit, which removes hours over a limit at the start of a new year.
Does PTO accrue on overtime hours?
It depends on the policy. If PTO is earned per hour worked, many employers count all hours worked, including overtime; others count only regular hours. Enter the hours your policy counts in “Hours worked each pay period”.
Is PTO required by law?
Not under US federal law. Some states and cities require paid sick leave (California: at least 1 hour per 30 hours worked), and some regulate vacation once it is offered. In the UK, Canada and Australia, paid holidays or annual leave are required by law, with their own rules.
Shift schedules
Rotations as a year calendar, for your phone
DuPont schedule
What is the DuPont schedule?
A rotating 12-hour shift schedule for four crews over 28 days: 4 nights, 3 off, 3 days, 1 off, 3 nights, 3 off, 4 days, 7 off. One crew works days and one works nights every day, so the workplace is covered around the clock.
How many hours a week is the DuPont schedule?
42 hours on average: 14 twelve-hour shifts in 28 days. Individual weeks range from 0 to 72 hours depending on where the week starts.
Do you really get 7 days off in a row?
Yes, once in every 28-day cycle, after the block of 4 day shifts, without using vacation time.
How much overtime do you get on a DuPont schedule?
Under the US federal rule it depends on the day the employer’s workweek starts, because some weeks have more than 40 hours and some have fewer, and weeks can’t be averaged. The calculator shows your crew’s overtime hours for the year for each possible workweek start day.
What is the difference between DuPont and 2-2-3?
Both use four crews on 12-hour shifts and average 42 hours a week. DuPont runs over 28 days with longer blocks (up to 4 shifts) and a 7-day break; 2-2-3 runs over 14 days with blocks of 2 or 3 shifts and every other weekend off, with no long break.
What is a reverse DuPont schedule?
The same 28-day cycle started with the 4 day shifts instead of the 4 nights: 4 days, 3 off, 3 nights, 1 off, 3 days, 3 off, 4 nights, 7 off. Pick “DuPont, days first” in the calculator.
Is there a DuPont schedule with 8-hour shifts?
The DuPont rotation is a 12-hour pattern. Workplaces with 8-hour shifts use three-shift rotations instead; you can build one with the custom cycle in the shift schedule generator.
How do I put my DuPont schedule in Google Calendar?
Press “Add to calendar (.ics)” to save your crew’s year as a file, then import it in Google Calendar’s settings on a computer (Import & export). Every shift appears with its start and end time.
2-2-3 schedule (Panama)
What is a 2-2-3 work schedule?
A 14-day rotation of 12-hour shifts: 2 days on, 2 off, 3 on, 2 off, 2 on, 3 off. Four crews cover days and nights every day, and each crew works every other weekend.
How many hours do you work on a 2-2-3 schedule?
84 hours every two weeks, which is 42 hours a week on average. With 3-day blocks on Friday to Sunday and a Sunday-start workweek, the weeks alternate between 36 and 48 hours.
Is the 2-2-3 schedule the same as the Panama schedule?
Yes, Panama is one of its names. Some sources use “Panama” for the fixed 14-day form and others for the rotating 28-day form, so check which one your workplace means.
Why is it called the Panama schedule?
We couldn’t find a reliable source for the name. It is used for the 2-2-3 rotation in scheduling software and on Wikipedia, but the origin isn’t documented.
Is a 2-2-3 schedule good?
Many people like that they never work more than 3 days in a row and get every other weekend off. The 12-hour shifts and changing weekdays suit some people better than others. On the rotating form, the switch between days and nights is the hardest part.
How much overtime is there on a 2-2-3 schedule?
Under the US 40-hour rule, about 8 hours every other week (208 a year) with a Sunday-to-Saturday workweek. A different workweek start day changes it; the calculator works it out for every start day.
Can I get my 2-2-3 schedule on my phone?
Yes. Press “Add to calendar (.ics)” and open the file on your phone (iPhone) or import it in Google Calendar on a computer. Every shift of the year is added with its times.
Pitman schedule
What is a Pitman schedule?
A 12-hour shift rotation on a 14-day cycle of 2 on, 2 off, 3 on, 2 off, 2 on, 3 off, worked by four crews so that one is on days and one on nights every day.
What is a police Pitman schedule?
The same 2-2-3 rotation with 12-hour patrol shifts, often 6 to 6 or 7 to 7. Many departments keep fixed day and night teams; some rotate them every two or four weeks.
Is the Pitman schedule the same as 2-2-3?
Yes. Pitman, Panama and 2-2-3 all name the 2 on, 2 off, 3 on rhythm. Sources disagree on which name goes with the fixed and which with the rotating form.
How many hours a week is the Pitman schedule?
42 on average: 84 hours every 14 days. Individual weeks are 36 and 48 hours with a Sunday-start week and the 3-day blocks on Friday to Sunday.
Do police get overtime on a Pitman schedule?
It depends on the work period. Under the FLSA’s section 7(k), a 28-day work period for law enforcement has an overtime limit of 171 hours, and a Pitman crew works 168 scheduled hours in 28 days. With a 7-day workweek and the 40-hour rule, there is overtime every other week instead.
Why is it called the Pitman schedule?
We couldn’t find a documented source for the name. It is widely used by scheduling software and police departments, but the origin isn’t recorded anywhere reliable.
How do I print a Pitman schedule?
Press “Download PDF” for a one-page year calendar of your crew, or Print. The PDF shows day and night shifts in different colours with the shift times.
4 on 4 off schedule
What does 4 on 4 off mean?
You work four shifts in a row, usually 12 hours each, then have four days off, and the 8-day cycle repeats. Your working days move forward one weekday every cycle.
How many days a year do you work on 4 on 4 off?
Half of them: about 182 or 183 shifts a year, depending on the year and where your block falls.
How many hours a week is 4 on 4 off?
42 hours on average with 12-hour shifts: 48 hours every 8 days. Paid hours are less if your breaks are unpaid.
Is 4 on 4 off better than Monday to Friday?
You work fewer days (about 182 instead of about 230 after holidays) and get four days off each time, but the days are longer and include weekends and, often, nights. It suits people who prefer longer breaks to shorter days.
What is 4 on 4 off with 2 days and 2 nights?
A version where the four working days are two day shifts followed by two night shifts, then four days off. The first day off is mostly spent recovering from the last night shift.
How many weekends do you get off on 4 on 4 off?
Because the cycle is 8 days, your weekends off move around the year. The calculator shows the number of weekends you work in a given year for your crew and start date.
Can I add my 4 on 4 off rota to my phone calendar?
Yes. Press “Add to calendar (.ics)” and open the file on your phone, or import it in Google Calendar or Outlook. Every shift of the year is added.
24/48 firefighter schedule
What is a 24/48 schedule?
A firefighter rotation of a 24-hour shift followed by 48 hours off, worked by three platoons (A, B and C), so each one works every third day.
How many hours a year is 24/48?
About 2,920 hours: 56 hours a week on average, or one 24-hour shift every 3 days (121 or 122 shifts a year). Kelly days reduce it.
What is the difference between 24/48 and 48/96?
Both average 56 hours a week with three platoons. On 24/48 you work every third day; on 48/96 you work two days in a row and then have four days off.
What is a Kelly day?
An extra scheduled day off that replaces a regular shift every so many shifts, to bring average hours down. A Kelly day every 7th shift on 24/48 lowers the average from 56 to 48 hours a week.
What is the California roll schedule?
A 9-day firefighter rotation: on, off, on, off, on, then four days off, worked by three platoons. It averages 56 hours a week, like 24/48.
When do firefighters get overtime?
Under the FLSA’s section 7(k), after 212 hours in a 28-day work period, or a proportional limit for shorter periods (53 hours in 7 days). Many contracts pay overtime sooner.
How do I get my firefighter shift calendar on my phone?
Pick your rotation and shift, press “Add to calendar (.ics)” and open the file on your phone or import it in Google Calendar. Each 24-hour shift is added from its start time to the same time the next day.
Shift schedule generator
How do I make a rotating shift schedule?
Choose a pattern (or write your own cycle of day, night and off days), decide how many crews you have and how many days apart they start, then set the start date. The generator lays out every crew’s calendar and checks that each day is covered.
What is the best shift pattern?
There isn’t one best pattern: it depends on how many people you have, shift length and what workers value. With 12-hour shifts and four crews, DuPont gives a week off every month, 2-2-3 gives every other weekend off, and 4 on 4 off gives regular four-day breaks.
How many crews do I need for 24/7 coverage?
With 12-hour shifts, four crews give each worker about 42 hours a week. With 24-hour shifts, three platoons give 56 hours a week (four give 42). With 8-hour shifts, four or five crews are needed.
Can I add my shifts to Google Calendar?
Yes. Download the .ics file and import it in Google Calendar on a computer (Settings, Import & export). It adds every shift in the year with its start and end time.
What do the letters in the cycle mean?
D is a day shift, N a night shift, E an evening shift, X a 24-hour shift, and a dash (or O) is a day off. K marks a Kelly day off on firefighter patterns.
Which crew am I on?
Your employer’s crew letters may differ from ours, so don’t rely on the letter. Type the date you start the cycle and check the two-week strip against your real schedule; the calendar then follows your crew.
Is the shift calendar saved?
Your choices are saved in this browser only. The calendar file and PDF are made on your device; nothing is uploaded.
