How to fill in the timesheet
- Choose the pay period: weekly, every two weeks, twice a month (1st–15th or 16th–end), the whole month, or a number of days. Then pick the date it starts.
- Fill in each day you worked: in time, out time and the unpaid break in minutes. Days you leave empty count as days off.
- Worked twice in one day? Press the + at the end of the row to add another shift on that date (for example 6–10 AM and 4–8 PM).
- Add a note on any row: a job number, client, site or task. Notes go into the PDF and the CSV.
- Choose the overtime rule and your pay rate, then download the timesheet as a PDF or CSV.
Timesheet or time card?
Both add up hours worked. The time card calculator is a fixed one- or two-week card with lunch punches, like a paper card at a time clock. This timesheet follows your pay period instead, so a semi-monthly or monthly payroll lines up with it, and it keeps a note on each row, which is what contractors, home care workers and anyone billing by job need.
Example: a half-month timesheet
A home care worker paid twice a month works 1–15 March with some split shifts:
| Date | In | Out | Break | Note | Hours |
|---|---|---|---|---|---|
| Mon 2 Mar | 7:00 AM | 11:00 AM | 0 | Client A | 4:00 |
| Mon 2 Mar | 4:00 PM | 8:30 PM | 0 | Client B | 4:30 |
| Tue 3 Mar | 8:00 AM | 4:30 PM | 30 | Client A | 8:00 |
| … and so on for the other days | |||||
The timesheet adds the two rows on 2 March into one 8.5-hour day, then groups the days into workweeks to find overtime: a half-month period usually contains parts of three workweeks, and each is counted on its own.
Overtime across a pay period
Pay periods and workweeks are different things. Under US federal law, overtime is owed for hours over 40 in each workweek, a fixed seven-day period your employer sets, even when you are paid every two weeks or twice a month (US Department of Labor Fact Sheet 23). Set Workweek starts on under More settings to your employer’s day (often Sunday or Monday); the timesheet then shows a table of each workweek’s hours. A week that begins before the pay period starts only counts the days inside the period, so check the first and last weeks against the days before and after it.
The same rules as the time card are available: US federal, California daily and weekly, over 8 a day or 40 a week, or your own custom limits.
Saving and sharing your timesheet
The timesheet is saved in this browser as you type. The PDF has your name and employer (if you add them under “Name and employer for the PDF”), every worked row with its note, the totals and signature lines. The CSV has one row per entry plus a total, and opens in Excel or Google Sheets. Times in the CSV use the clock you chose (12-hour or 24-hour); decimal columns use hundredths of an hour.
Frequently asked questions
How do I calculate hours on a timesheet?
For each row, subtract the in time from the out time and take away the unpaid break. Add the rows for each day, then add the days. Divide the total minutes by 60 to get decimal hours for payroll. The timesheet calculator does it as you type.
How do I record a split shift?
Fill in the first part of the shift on the day’s row, then press the + at the end of the row to add another row for the same date and fill in the second part. Both rows count toward that day’s total and its overtime.
How is overtime worked out on a biweekly or semi-monthly timesheet?
Overtime is counted per workweek, not per pay period. The calculator groups the days into workweeks starting on the day you choose and applies the rule to each week. 45 hours in one week and 35 in the next is 5 hours of overtime, not zero.
Can I add notes, a job number or a client to each row?
Yes. Each row has a note field; notes appear in the PDF and in their own column in the CSV.
Can I make a monthly timesheet?
Yes. Choose “Monthly (the whole month)” as the pay period and pick any date in the month. The timesheet shows every day of that month.
Can I download the timesheet as Excel?
Download CSV gives a file that opens directly in Excel, Google Sheets or Numbers, with dates, times, hours in h:mm and decimal, overtime and notes.
Is my timesheet stored online?
No. It is saved in this browser only, and the PDF and CSV are made on your device. Nothing you type is uploaded.
